Office Manager

Location: Miami, FL (On-Site, Full-Time)

ALEXIS is seeking a poised, highly organized, and solutions-oriented  Office Manager to oversee the daily operations of our corporate headquarters.

This role requires someone who thrives in a  fast-paced, high-pressure environment , stays calm under stress, and can balance logistical precision with creative execution.

As the central figure supporting a team of 40+ employees and acting as a buffer between C-level executives and the broader team, this person must be both highly professional and exceptionally resourceful.

From managing contractors and supplies to executing in-office events and supporting new hires, the Office Manager will be responsible for creating a polished, efficient, and inspiring work environment.

Key Responsibilities:

  • Serve as the  first point of contact for the company—screening calls, greeting visitors, managing front desk communication, and overseeing the office with professionalism.
  • Act as the  primary liaison between leadership, staff, contractors, vendors, and IT support.
  • Keep the office operating seamlessly by managing  supplies, maintenance, technology, and cleanliness at all times.
  • Handle all  employee onboarding and off boarding , including setup of workstations, credentials, and company materials.
  • Manage executive  calendars, meeting scheduling , and provide operational support to senior leadership.
  • Book lodging, transportation and coordinate all aspects of travel when needed.
  • Execute  creative internal events —including team birthdays, store openings, and company celebrations—conceptualizing ideas and delivering them on fast timelines.
  • Assist with  hiring logistics , including resume screening, scheduling, and conducting initial interviews.
  • Support C-suite executives in managing confidential projects and internal priorities.
  • Jump into  ad hoc assignments quickly and effectively—problem-solving in real time and ensuring high-quality results across varied responsibilities.

What We’re Looking For:

  • 4–5 years of office management or senior executive support experience, ideally in a fast-paced, creative, or high-growth company.
  • Calm, confident presence with strong communication skills and excellent judgment.
  • Exceptionally organized and detail-oriented with the ability to  multitask and prioritize under pressure .
  • Creative thinker with the ability to develop and execute engaging team and company-wide initiatives.
  • A proactive self-starter who doesn’t wait to be asked—anticipates needs and acts with urgency.
  • Technologically fluent; confident with tools like Google Workspace, Microsoft Office, Zoom, Slack, and vendor platforms.
  • Professional demeanor and discretion when handling confidential matters.
  • Based in  South Florida and able to work  on-site full time .
