Job Description

Join the team at Green Hills Diamond Brokers as our Back Office Associate and become an integral part of the operations behind Nashville’s premier diamond brokerage. This position is ideal for someone who thrives in a structured environment, values precision, and enjoys supporting a fast-paced luxury retail operation.

As a Back Office Associate, you’ll play a critical role in keeping the business running smoothly behind the scenes. From managing inventory and processing transactions to maintaining records and supporting sales staff, your work ensures that every detail is accurate and that our front-of-house team can deliver an exceptional client experience.

Key Responsibilities:

  • Assist with inventory control: logging new arrivals, updating product records, and organizing stock.
  • Support order processing, invoicing, and repair tracking.
  • Enter and manage client and transaction data with a high degree of accuracy.
  • Coordinate with vendors, jewelers, and sales staff for timely fulfillment of orders and services.
  • Prepare documentation for appraisals, insurance forms, and internal reporting.
  • Maintain organization in back-office areas, including supplies and merchandise storage.
  • Provide occasional support to the front desk or sales team as needed.

Requirements:

  • Minimum 1 year of administrative or operational support experience; jewelry or luxury retail experience is a plus.
  • Strong attention to detail and accuracy with numbers, data entry, and documentation.
  • Proficient in Microsoft Office and Google Suite; familiarity with POS or inventory software is an advantage.
  • Ability to multitask and stay organized in a fast-paced environment.
  • High level of discretion and trustworthiness when handling sensitive client or financial information.
  • High school diploma or equivalent required; college coursework preferred.
