Introduction

Visium Resources has been asked to identify qualified candidates for this Administrative Assistant position located in Jacksonville, FL. This position is a contract hire opportunity which is expected to be on-site for a duration of six to twelve months.

Job Description:

  • Responsible for answering phones, taking messages, greeting visitors and directing appropriate staff.
  • Responsible for opening and distributing mail, retrieving and distributing faxes to appropriate staff. This may include preparing and distributing to large groups emails and communications.
  • Scheduling and coordinating meetings, conferences and making all audio and visual arrangements. Maintaining calendars, preparing agendas and minutes to all meetings.
  • Compile data, create and maintain spreadsheets that may include weekly reports for management team. May also prepare expense and budget reports for the team or department.
  • Create, copy and distribute forms, documents, manuals. Organize, file and maintain all corporate documents, records and reports according to record retention policies.
  • Coordinate travel arrangements and provide backup administrative support for management as needed.

Qualified candidates would have the following:

Knowledge, Skills and Abilities

  • Proficient in Word, Excel, Outlook
  • Strong communication skills, both verbal and writing

Relevant Experience

  • 3 years administrative/clerical experience

Preferred Experience and Education

  • 2 years of experience in a corporate setting

Education

  • High School Diploma | GED
